Field Status & Inclement Weather Procedure

Coaches are responsible for monitoring field conditions, making informed decisions on practice cancellations, and promptly communicating updates to their teams.

Checking Field Status

Rollins Ford, Bull Run Middle, Piney Branch

PWC Department of Parks & Recreation oversees field maintenance and determines availability during inclement weather. Field status decisions are made by 3:00 p.m. on weekdays and by 7:00 a.m. on weekends, with updates provided at noon if necessary.

Coaches should verify the status of their designated practice field (Rollins Ford, Bull Run Middle School, or Piney Branch) by calling 703-792-3279 after 3:00 p.m. for the latest recorded update.

Gainesville Middle

GMS will not close due to rain.  Coaches are responsible for canceling practice due to lightning. 

Evening Storms

If the field status has not been updated due to unexpected evening storms, coaches must assess weather conditions, including radar and storm severity, and make a timely decision regarding practice cancellation. Ensuring the safety of players and families is the top priority.

Practice Cancelation & Communication

If a coach decides to cancel practice, they should promptly notify their team through Demosphere or email and remove the event from the schedule to ensure clear communication and minimize confusion.
